Deputy Director

I. PURPOSE OF THE JOB 

The Deputy Director reports directly to the Executive director/ CEO and is responsible for over-all Agency operations that include facility management, human resources, as well as the residential, educational, and vocational divisions.


II. ESSENTIAL FUNCTIONS AND RESPONSIBILITIES 

  • Works with the CEO / Executive Director in the formulation, development, and implementation of procedures to comply with regulations and policies adopted by the Board of Directors.

  • Assists the CEO / Executive Director in preparing necessary reports required by State, National, and local UCPA’s.

  • Assists the CEO / Executive Director in program development.

  • Acts on behalf of the CEO / Executive Director in his / her absence.

  • Assists the CEO / Executive Director in preparing the annual Agency budget.

  • Will work in conjunction with the CEO/ Executive Director in supervising and evaluating all members of Senior Leadership, approves and monitors time off requests for these individuals.

  • Approval and monitoring of expenditures for all divisions/departments. Reviews all requisitions and purchase orders, maintains contracts, oversees the purchase and repair of Agency vehicles, equipment, furniture, flooring, machinery, etc.

  • Oversees facility management and security of administration building as well as the monitoring of all Agency sites.

  • Attends regular meetings with Maintenance Supervisor and Agency maintenance staff.

  • Responsible for overseeing the preparation of federal and state government reports.

  •  

  • Oversees the preparation of educational grants ensuring timely filing and accurate reporting.

  • Attends all Agency board of Directors meetings and presents information as required, also meets with board subcommittees.

  • Oversees the coordination of Agency Board of Directors functions such as Board Meetings, Agency Open House, and Awards Dinner.

  • Represents the Agency in the community at social functions and meetings as needed.

IV. OTHER DUTIES AND RESPONSIILITIES – as assigned by the CEO / Executive Director / President of the Board of Directors

 


V. KNOWLEDGE AND SKILLS 

  • Bachelor’s degree (Master’s degree preferred) in Human Services /Management or related field                 

  • Minimum five years’ supervisory experience, especially with intellectual and developmental disabilities

  • Experience with OPWDD preferred

  • Nonprofit experience preferred but not required

  • Demonstrates ability in budgeting and project oversight 

  • Ability to handle public relations, employee relations, and relations with members of the       Board of Directors

  • Demonstrates strong oral, written, computer skills

  • Demonstrates ability to organize work and set priorities

  • Ability and willingness to network on the agency’s behalf

  • Ability to multi-task and meet deadlines under pressure

  • Understanding of program budgets

VI. FUNCTIONAL ABILITIES (auditory & visual acuity, mobility, strength, travel, work hours)

 

  • Flexible hours – job duties may include evenings and weekends

  • New York State driver’s license and ability to travel throughout the region

  • Physical condition commensurate with job duties
